Manage Data in Tables

Customize data table views for best use and efficiency with managing your data

This is a general overview of how data is represented and customized within tables across your SoftLedger system. Get familiar with how to customize, set defaults and save views, and export the data in your tables.

Table Configurability

Tables are highly configurable to each user's preferences. On each table, a user can adjust:

  1. The columns in view

  2. The column order (drag and drop)

  3. Pinned columns to left or right of table to always be in view

  4. The column the table is sorted on (ascending or descending)

  5. Fltered fields (e.g. Posted Date is January 1st as Start Date)

  6. The number of rows per page (5-1,000)

Once any table is adjusted on the above configurations, the user can save that view as default, or a version of those configurations called "views" See a quick video of the table adjustments described above, and saving of the Journal Lines report:

This type of adjustment can be made on the Journal Lines report in the Reports module, as well as in ALL tables across the product on their respective pages (e.g Bills table, Invoices table, Vendors table, etc.):

Views

While you can always make ad hoc adjustments to any table based on the configurations mentioned above, it is helpful to save those configured adjustments into Views so that when you return to the table, you don't need to make those adjustments again.

Note: The Column Order can not be saved in a View and would need to be adjusted on each load of the View.

Default View

Each table has a default view for each user. The first action by a user should be to make adjustments and then save a view as Default, as this serves as the landing table on that report for each users

Saved Views

While you can set a table as a default view, it can be helpful to have different sets of different table configurations for different purposes. For example, you could set a saved view for looking to transactions through a certain end date for closing a period, but you wouldn't want that as your Default view. In the same way you can set your Default view, you can make adjustments and then "Create a New View".

Public vs. Private Views

When creating the View, you can determine whether that View is Public for all users in your SoftLedger system to see, or just Private for your own use.

Editing and Deleting Views

Once a View is created or the Default View is set, you can always make adjustments to your table and click the Set as Default button on any table to update your default. To update a non default View, first select that View from the View box:

Then click the 3 stacked dots next to the View selected for the options to:

  • Set as Default - makes this saved View your new default

  • Save Current View - saves the current table configurations as the View selected in the View box

  • Make Public/Private - if the View is public or private, this would allow the user to make public/private
