How to navigate tables and user bulk actions

Customize filters, columns, and rows in tables to create saved views, and utilize bulk actions like bulk editing, deleting, or posting across lines in the table.

Table Views and Bulk Journal Edits

Every table in SoftLedger shares the same toolkit: show and hide columns, filter, sort, export, and save the whole configuration as a view you can come back to. And on the Draft Journal Lines page, that same table allows bulk editing too. Filter down to the lines you care about, select them, and update journal and line fields in bulk.

This article covers both: saving views so you never rebuild a table twice, and bulk editing draft journals.


Saved views

When you've configured a table the way you like it — columns, filters, sorting, page size — save it as a named view instead of rebuilding it next time.

Creating a view

  1. Configure the table as desired (columns, filters, sorting).

  2. Select the menu icon (three vertical dots) next to the View dropdown.

  3. Select Create New View, name it, and choose public or private.

  4. Select Create.

Private views are visible only to you. Public views are visible to everyone in your organization — a great way to share a useful configuration with the team.

Default views

A default view loads automatically when you open a table. To set one, select a view from the dropdown, open the menu icon, and select Set as Default. This creates your own copy as the default — each user has their own, and default views are always private.

Managing views

From the same menu you can Save Current View (updates the view with your current configuration), Make Public / Make Private, or Delete View.

Note: Only the creator of a view can modify or delete it, and a deleted view can't be recovered. Anyone can use a public view.

What a view saves

The below items can be saved in standard table views:

  1. Columns in view and columns pinned to left or right

  2. Sort order

  3. Filters

  4. Rows in view (5/10/25/50/100/1000)

The below items can not be saved in table views:

  1. Column order and widths

  2. Checkbox selected rows, rows expanded (from the carrot dropdown icon), and the position of scroll in the table when saved


Bulk editing draft journals and lines

When you need to modify or reclassify many journal lines at once — say, moving a month of activity to a different ledger account, or adding a cost center across an import — you can do so in bulk rather than one by one.

  1. Go to Financial > Journals and open the Draft Journal Lines tab.

  2. Use filters to narrow to the lines you want — for example, Ledger Account is 110000 - Wells Fargo Operating.

  3. Select the lines to edit (the header checkbox selects the page).

  4. Select the pencil icon (Update Journal Lines) in the table toolbar.

The update dialog works at two levels, and it tells you which is which:

Journal-level fields — Reference, Notes, Transaction Date, Posted Date, Location, IC Location, and Currency. These update the entire journal that a selected line belongs to, since they must be consistent across a journal's lines.

Line-level fields — Description, Ledger Account, IC Account, Customer, Vendor, Cost Center, Job, Investor, Task, Project, and Billable. These apply only to the lines you selected.

Fill in just the fields you want to change and select Confirm — anything you leave blank is untouched.

Note: Changing a journal's currency removes any custom FX rates on that journal.

What's in scope that can be bulk edited

  • Draft journals only. Posted journals must be reverted to draft before they can be edited.

  • Up to 1,000 lines per update.

  • Financial ledger, standard journals and lines. Intercompany and elimination lines are excluded from bulk edits.


Good to know

  • Filter first, then select. The fastest path to a clean bulk edit is a saved view with the right filters — the two features are made for each other.

  • Create focused views for recurring tasks and give them descriptive names, and make the useful ones public for your team.

  • Clean up unused views to keep the dropdown manageable.

  • Journal-level changes ripple. Selecting one line of a journal and changing its Posted Date changes it for the whole journal — that's by design, since those fields can't differ within a journal.
