Create dashboards and business intelligence views in softledger

Overview

SoftLedger Analytics is an in-app business intelligence and dashboarding feature powered by embedded Metabase. It allows users to combine data tables from across the SoftLedger platform, build custom reports, and visualize them in charts, graphs, and pivot tables — all without leaving SoftLedger.

Analytics is accessed from its own Analytics tab in the left panel menu of your SoftLedger application. Your reports are organized into Collections (such as your Personal Collection), which can hold dashboards, models, and questions.

Analytics is an add-on feature with an additional subscription cost, and must be enabled by the SoftLedger support team. If you do not see the Analytics tab in your left panel menu, it has not been enabled for your system — contact support@softledger.com or reach out through the in-app chat to add it to your subscription.

Key Concepts

Analytics is built on three Metabase building blocks:

  1. Questions - A question is a single query and its visualization (e.g. "Expenses by SubType by Month"). Questions are the core of every report, and are built with a point-and-click editor — no SQL required. See Metabase: Questions.

  2. Models - Models are curated data building blocks set up off of SoftLedger's data tables (e.g. Journal Report model built from the journal transactions table). Use models as starting points for your questions. See Metabase: Models.

  3. Dashboards - Dashboards arrange multiple saved questions onto a single page with shared filters, so you can see KPIs, trends, and detail tables together. See Metabase: Dashboards.

Using Dashboards

Open a dashboard (e.g. a Financials Overview) from your collection to view all of its cards in one place:

  • Filters - Use the filter bar at the top of the dashboard (e.g. Location, Posted Currency, Date) to update every card on the dashboard at once. See Metabase: Dashboard filters.

  • Drill-down - Click any chart value or segment to explore further: view the underlying records, break out by another field, filter by that value, or generate automatic insights. See Metabase: Interactive dashboards.

  • Edit dashboard - Use the pencil icon to add, resize, rearrange, or remove cards, control colors and sizing of each visual, and add new filters or text cards.

  • View a report - Click a card's title to open the underlying question and see both the visualization and the detailed data behind it.

Building Reports (Questions)

Start a new question from a model or from Browse Data (where all of SoftLedger's underlying data tables live, e.g. the journal transactions table that populates the Journal report, or FX rates). You can also click into any existing card and select Edit question. In the editor you can:

  • Filter - Narrow results to the data you want (e.g. Ledger Account type = Revenue, or only journal lines with a customer tagged).

  • Summarize - Aggregate your data (sums, counts, averages) and group by fields like customer, month, location, or account subtype. Custom columns can be added for calculated values (e.g. debits minus credits).

  • Visualize - Choose from pre-built chart types: table, pivot table, bar, line, pie, combo, number, trend, and more — then customize colors, axis names, value labels, and currency symbols. See Metabase: Visualizations.

  • Download results - Export any question's results as PNG, XLSX, or CSV.

  • Save your question to a collection, then add it to a dashboard.
