What is SoftLedger Pay?
SoftLedger Pay adds a Pay button to the invoices you email from SoftLedger. Your customer clicks it, pays by card or bank transfer on a secure hosted page, and SoftLedger automatically records the cash receipt and marks the invoice paid.
Key benefits:
Get paid faster. Customers pay online in a few clicks, directly from the invoice.
Flexible payment methods. Accepts Visa, Mastercard, Amex, Discover, and ACH bank transfers.
Built into your AR. Payments auto-reconcile to your ledger in real time — no CSVs, no manual matching.
Pricing
No additional fees to your SoftLedger subscription — you only pay a per-transaction rate similar to other payment processors, and funds settle directly to your bank account.
Method | Rate |
Credit Cards (domestic) | 2.95% + 35¢ per successful transaction |
ACH Direct Debit | 0.35% per transaction |

How your customers pay
You send the invoice. Create and email an invoice from SoftLedger as you normally would. The emailed invoice includes a 'Pay this invoice' button.
Your customer pays online. Your customer can choose to pay by credit/debit card or ACH from the payment button by entering their payment details on a secure webpage. Customers have the option to save their credit card details to use for future invoice payments.
Your books update automatically. Once the payment is confirmed, SoftLedger records a cash receipt, applies it to the invoice, and marks it paid.
When payments post
Credit/Debit Card payments post within minutes, as soon as the card is approved.
ACH payments post once the transfer settles (typically a few business days).
Getting started
Onboarding to SoftLedger Pay starts with a short intake form to create your merchant account.
Once your merchant account is approved, a SoftLedger admin enables SoftLedger Pay for your account. From there, you complete a one-time setup (below) and you're ready to accept payments.
One-time setup in SoftLedger
After SoftLedger Pay is enabled, navigate to Admin → Integrations (Integration Marketplace) to map the associated bank account and clearing account for payments.
Account | What it's for |
Cash Account | Bank Account where SoftLedger Pay payments are deposited |
Unapplied Cash Account | Clearing account for payments not yet applied to an invoice. |
Both accounts are required for customer payments in SoftLedger Pay to reconcile with your AR Module in SoftLedger.
Where to review your payments
Recorded payments appear in SoftLedger as cash receipts applied to the invoice, and in the SoftLedger Pay portal, where you can review all payment activity:
Gateway Transactions — credit/debit card payments.
ACH Transactions — bank transfer payments.
The External ID field on your cash receipt in SoftLedger matches the unique ID in the Payment Reference field in SoftLedger Pay.

Refunds
Refunds can be issued from the SoftLedger Pay portal, but a refund does not automatically update in SoftLedger's general ledger. If you issue a refund through the SoftLedger Pay portal, remember to account for it in SoftLedger as well.
Good to know
USD dominated invoices only. Invoices denominated in another currency aren't currently supported.
Saved cards. One card is stored per customer; saving a new card replaces the previous one.
Autopay. If a customer has a valid saved card, future invoices will be auto-paid.
Troubleshooting
If a payment isn't showing up in SoftLedger, the most common causes are that the two ledger accounts above aren't mapped yet, or that an ACH payment hasn't settled (ACH records only once it settles).
