Overview
Connect SoftLedger to Ramp to push your chart of accounts, vendors, and dimensions into Ramp — and have approved bills, payments, card transactions, and reimbursements flow back into SoftLedger automatically.
The Ramp integration is bidirectional:
Publish to Ramp — SoftLedger pushes your accounting data (ledger accounts, vendors, dimensions, tax rates, and entities) into Ramp so your team codes spend against your real chart of accounts. Publishing is started manually with one button.
Import from Ramp — as activity is approved in Ramp, it flows into SoftLedger in real time: approved bills become AP bills, bill payments become payments, and card transactions and reimbursements post as journal entries. A daily catch-up sweep backstops the real-time sync so nothing is missed.
Every imported record is written back to Ramp with a sync result — a checkmark and a deep link straight to the record in SoftLedger, or a clear error describing what to fix.
Connecting to Ramp
Go to Settings > Integration Marketplace and find the Ramp card, then click Setup.
Choose your environment — Production for your live Ramp account. (The environment is locked once connected; you'd need to disconnect to switch.)
Click Connect to Ramp. A popup opens where you sign in to Ramp and click Allow to authorize the connection. Make sure your browser allows popups from SoftLedger.
Once authorized, the card shows you're connected, to which Ramp business, and as which user.
Note: The connection is tied to the user who authorizes it. If that person loses access to Ramp, the integration will prompt you to reconnect — any Ramp admin can re-authorize from the integration card. SoftLedger never stores your Ramp password.
Configuring settings
After connecting, the Settings tab is where you map Ramp activity to your books. Everything saves with one Save button, and you can edit settings any time.
Posting accounts (all four required)
Add the default accounts from your SoftLedger COA for the below operations:

Dimensions
Each SoftLedger dimension you enable (Cost Center is on by default) is created in Ramp as a custom accounting field, with your dimension values as the options. Your team then tags spend with those values in Ramp, and they come back on the imported journals and bills.
Note: Turning a dimension off removes its field from Ramp on the next publish — so the values your team selected under it are no longer applied to new activity.
Entities
Map each Ramp entity to one of your top-level SoftLedger locations. At least one mapping is required. Activity from an unmapped Ramp entity is skipped and flagged, so map every entity that has spend.
Payment methods
Map each Ramp payment method you actually use (ACH, Check, Domestic Wire, etc.) to the SoftLedger cash account the money leaves from. You only need to map the methods your team pays bills with — the mapping is checked when a payment comes through, not before.
Publishing your data to Ramp
Publishing pushes your accounting data into Ramp. It's a manual step — go to the Status tab and click Publish whenever you want Ramp brought up to date. Setup must be complete first (connected, all four posting accounts set, at least one entity mapped).
A publish runs in order: entities, ledger accounts, vendors, dimension values, then tax rates. For each type, Ramp is made to match SoftLedger — new records are created, changed ones updated, and deleted ones removed. Ledger accounts appear in Ramp by their account number and name; zero-percent tax rates are skipped.
The Status tab shows each data type as Up to date or Not yet published, plus an activity feed of every sync. One publish runs at a time, and if one step fails the rest of that run stops — fix the error shown and publish again.
Best practice: Publish after any meaningful change to your chart of accounts, vendors, or dimension values. Publishing is never automatic, so new accounts won't appear in Ramp until you push them.
What imports from Ramp
Bills
When a bill is approved in Ramp, it's created in SoftLedger as an approved AP bill: the Ramp entity determines the location, each line carries the ledger account and dimensions selected in Ramp (falling back to your Default Expense Account if none was chosen), and the bill links back to Ramp.
If the vendor doesn't exist in SoftLedger yet, it's created automatically and linked back to Ramp.
Bills archived in Ramp are cleaned up in SoftLedger — an unapproved bill is deleted, an approved one is voided.
Bill payments
When a bill is paid in Ramp, a payment is created in SoftLedger against that bill, drawing from the cash account mapped to the payment method used. If the payment method isn't mapped, the bill stays in place, the payment is held, and an error is reported to Ramp — map the method in Settings and the payment syncs on the next pass.
Card transactions
Each Ramp card transaction marked ready in Ramp posts as a journal entry. For a $120 purchase:

Refunds post the same journal flipped. Splits post one expense line per split, each with its own account and dimensions. Journal references begin with RAMP-TXN- so they're easy to find.
Reimbursements
Approved reimbursements post similarly, against your Reimbursement Clearing Account. For a $60 reimbursement:

Real-time plus a daily safety net
Imports arrive within moments of the activity in Ramp. Because no notification system is perfect, the integration also runs a full catch-up sweep every day (early morning UTC) that picks up anything a missed notification would have skipped — so a hiccup never loses data, it just waits up to a day.
Maintaining the integration
Watch the Status tab. The integration card shows a status chip (Not Connected, Setup incomplete, Active), and the Status tab's activity feed records every publish and import, including errors.
Publish after changes. New ledger accounts, vendors, or dimension values reach Ramp only when you publish.
Map new entities and payment methods as you add them. Unmapped entities are skipped; unmapped payment methods hold up bill payments until mapped.
Reconnect when prompted. If the authorizing user loses Ramp access or the connection expires, click Reconnect on the integration card and authorize again — settings and history are kept.
Disconnecting removes the integration and all published accounting data from Ramp's side. Records already imported into SoftLedger are untouched. You can reconnect later, but you'll reconfigure settings and publish again.
Troubleshooting
Nothing is importing from Ramp. Check the integration card — if it shows Setup incomplete, finish the required settings (four posting accounts and at least one entity mapping). Also confirm the activity in Ramp is actually approved/marked ready; drafts don't sync.
A bill or payment failed to sync. Ramp shows the error on the record; the usual causes are an unmapped Ramp entity, an unmapped payment method, a vendor that couldn't be created, or a bill that was voided in SoftLedger. Fix the mapping or record and the item retries automatically.
My team can't see a new account or dimension value in Ramp. Publishing is manual — go to the Status tab and click Publish.
A publish failed. The Status tab shows the last error and the activity feed shows which step stopped. Fix the item it names and publish again.
The connection shows an error about the authorizing user. Reconnect from the integration card with a user who has Ramp access.
Good to know
One Ramp connection per SoftLedger tenant.
Edits made to a bill in SoftLedger after it syncs aren't pushed back to Ramp, and later edits in Ramp to an already-synced bill aren't re-imported.
Ramp card payments/transfers and cashback aren't imported — handle those through your bank feed.
Tax isn't broken out on imported records, and Ramp receipts/attachments don't carry over.
Ledger accounts publish to Ramp for the whole tenant; they aren't scoped per entity.
