Automating recurring journal entries in a template-based system for payroll, depreciation, and subscriptions. Pre-configured line items cover expenses and tax liabilities and can be saved as a template. Templates can be created from scratch or generated directly from an existing draft journal. Recurring schedules are configured under the Recurring section for Journals, Bills, or Invoices. Schedule details include frequency such as monthly or bi-weekly, with a start date and an optional end date that can be left blank to run indefinitely. A single template can be applied to multiple recurring jobs, for example scheduling payroll journals on both the 1st and 15th of each month. Completed jobs and any issues are tracked under Admin > System Jobs. All recurring entries are created in draft status.
This demo shows how to customize financial statements in a reporting tool to fit regulatory and operational reporting needs. To begin, click the edit icon on a report group to split it into more granular lines. Uncheck the general report group to reassign it to specific subtypes, then select which values to map. Insert new sections where relevant and submit changes to add a new section with a new mapping. Accept the changes to apply the customized layout to the balance sheet. Use Save As to store the customized report as a new saved layout with its own unique URL for sharing. The newly saved layout is then accessible from the report dropdown.
This demo shows how to customize invoice and purchase order email templates in an accounting or ERP platform. Navigate to Settings and select Email to manage organization-wide email preferences. Open the Email Templates tab to access customization options. Select the Invoice template type to edit emails that include invoice PDFs. Insert dynamic variables such as entity name and customer name into the email subject line and body to personalize outgoing messages. Set a brand color using a hex value. Add labels, variables, and footer text to structure the email body. Select a specific invoice to see a live preview of the formatted email. In Accounts Receivable, open an existing invoice and click the issue or email icon to view the invoice email and attached PDF as they will appear when sent.
This demo shows how to manually create a journal entry in the UI, using a payroll journal as an example. When opening a new journal, a Location Picker sets the journal's location. The System Date option populates the date automatically. Users set the currency for the transaction and review posting and accounting dates to ensure correct period recognition. A reference field is required to identify the journal later. A description field accepts free text per line item. Ledger accounts are selected for each line using a searchable field that supports keyboard shortcuts including tab. Multiple lines can be added to build complex entries; new lines automatically copy the description from the previous line. Journals can be configured as recurring, generating a draft journal on a defined schedule such as every two weeks or bi-monthly.
SoftLedger Pay enables customers to receive AR invoices and pay them directly via credit card or ACH. Users can create custom invoice templates by adding, removing, or adjusting fields, including custom fields specific to the business. To process a payment, generate a new invoice, select the customer, and apply a customized template. A PDF preview shows exactly what the customer will receive. Clicking Issue and Email sends the invoice along with a SoftLedger Pay payment link to the customer. The customer uses that link to pay via credit card or ACH. Once payment is completed, the invoice status in SoftLedger is automatically updated to Paid. All authorized and captured transactions are viewable in the Gateway and ACH sections of the portal.
This demo shows how to post intercompany journal entries across entities without manual reconciliation. To get started, enable Intercompany Entries and Eliminations in System Settings. Then create a new draft journal and select the specific entities involved in the intercompany transaction. Enter transaction details for the home location, such as debiting a checking account, and record the corresponding entry for the receiving entity on the same journal line pair, such as crediting a checking account in the intercompany entity. For the second set of lines, select intercompany receivable and intercompany payable accounts, then mark those lines for elimination so they appear in standalone reporting but are excluded from consolidated reporting. After the intercompany entry with eliminations is created, run an entity-level balance sheet to view the impact in each location along with elimination lines displayed in a dedicated elimination column.
This demo shows how to create and manage dimensions and cost centers for tagged financial reporting. Dimensions such as Cost Centers can be added directly to journal entry line items for granular coding. Which dimensions appear across different transaction types is controlled through the Dimension Settings menu. Standard dimensions like Cost Centers can be used for departments, and custom dimensions can also be created. New dimension values are added by providing a unique ID and a descriptive name. For large additions, a bulk upload tool is available to import multiple dimension values at once. Once added, cost centers and custom dimensions are immediately available when coding transaction line items and can be used for reporting across teams.
This demo shows how to configure ledger accounts and set up a chart of accounts in SoftLedger.
Individual ledger accounts can be added by clicking New to open the Add Ledger Account dialog. Each account requires a name, number, account type classification, owning entity, and usage scope. Foreign currency elections can also be configured at the account level.
For bulk setup, an Excel upload template is available. The template columns correspond to the same fields as the individual dialog: account name, number, type, report group, subtype, and a location ID that controls which entity the account belongs to. Foreign currency settings are also included in the template. To import, select Ledger Accounts in the Dimension Upload and click Submit.
After upload, accounts can be edited in bulk by selecting checkboxes in the accounts table and clicking the pencil icon. Individual accounts can also be edited one at a time by drilling into the record.
The SubType tab allows changes to SubType-to-Report Group mappings. Report Groups and SubTypes are used for mapping custom financial report layouts.
Setting up fiscal accounting years in the system. Open the Admin menu to access system configurations. Click New to create a new accounting year. Use the date picker to select the fiscal year start date. Add subsequent or prior years for any period in which transactions will be entered. This process supports monthly and yearly close workflows.
How to set up and manage entity structure in SoftLedger, including locations, hierarchy, currencies, and entity details. The system begins with a single global location, which can be edited to adjust settings before building out additional locations. New locations are added by entering a name, ID, currency, and parent location to define their position in the hierarchy. Each location supports entity-level details such as logo, name, address, email, and phone number, which populate PDF documents generated by the system. After adding locations, the Location Picker in the top left allows review of the full multi-entity structure.
Automating bank transaction coding using bank rules and AI suggestions in a transaction management workflow. From the transaction table, users can open a rule creation modal directly on a specific transaction to automate its classification. Alternatively, users can navigate to the Bank Rules tab to create a new rule from scratch. Rule creation involves defining a rule name, setting match criteria and conditions to target specific transactions, and specifying the ledger account, vendor, and cost center before saving. For AI suggestions, users can click into a transaction to change or adjust the suggested ledger account. Transactions can also be filtered and bulk-selected for processing. Selected transactions can be processed using rules or AI suggestions to generate Journal Entries, with a limit of up to 1,000 transactions at a time.
This demo shows how to create and manage prepaid expense bills in SoftLedger. The process begins by selecting a prepaid expense account to classify the bill correctly for future amortization. The draft prepaid is then opened in edit mode to define the amortization schedule and expense recognition details before posting. An expense account is selected to tie amortization entries to the correct profit and loss account. Once setup is complete, available journals are posted to apply the prepaid schedule and recognize expenses automatically. The demo also shows a validation check where the system returns an error if the linked bill has not been approved before journals can be posted. The source bill behind a prepaid amortization journal can be accessed directly from the prepaid record. Generated journal entries can be reviewed to verify posted prepaid expense transactions and confirm the accounting impact.
SoftLedger AP bill processing begins with an Inbox tab where newly received bills are reviewed before being entered into the system. A dedicated AP Inbox email address allows vendors to send bills directly, triggering automated intake. From the main AP bills workspace, users can return to manage inbox items and submit vendor invoices directly into the AP intake workflow from PDFs. Filters can be created to surface new bills awaiting review, helping teams prioritize unprocessed items. Before creating an AP bill, users open the uploaded attachment to verify bill details. Extracted vendor and location details are reviewed prior to submission. Imported line item details, including descriptions, accounts, quantities, and totals, are confirmed against the original invoice to ensure accurate capture.
SoftLedger enables tracking of cryptocurrency assets directly within a general ledger. Users can add market-traded assets by creating new coin records, and the system automatically generates corresponding asset, fee, and gain/loss ledger accounts for each coin. A coins list provides real-time treasury management data including quantities, market values, and unrealized gains. Ledger account numbers, naming conventions, and report mapping are configurable to align with existing financials. Historical mark-to-market valuations are accessible by adjusting dates within the treasury management view. Physical or digital asset locations are tracked by setting up wallets such as exchange accounts or blockchain addresses.
